Project management for an AEC firm running on Excel

Biometric attendance was being exported and re-typed into Excel, there were no timesheets, and every report was assembled by hand. We replaced it with a project management application that syncs attendance live and builds its own reports — now running at three AEC companies.

How it worked before

  • Attendance came off the biometric device and was re-entered into Excel by hand.
  • There were no timesheets at all — hours were reconstructed from memory and notes.
  • Nothing was automated. Orders, employee records and reporting all lived in spreadsheets.
  • Every report was rebuilt manually, which meant it was out of date as soon as it was finished.

What we built

Live biometric sync

The biometric device now pushes attendance straight into the application. Nobody exports a file, and nobody re-types it.

Timesheets in the application

Employees record their own hours against work, so time is captured where it happens rather than reconstructed later.

Attendance reporting

Reports build themselves from device data and submitted timesheets, instead of being assembled in a spreadsheet.

Order module

Orders tracked in the system alongside the work and hours they consume.

Employee module

One employee record the whole system reads from, replacing scattered sheets.

RFI module

Requests for information raised, routed and tracked in the application, so nothing sits unanswered without anyone noticing.

What changed

  • Attendance data stopped being re-typed — it arrives from the device.
  • Hours are recorded by the people doing the work, on the day.
  • Reports are read, not rebuilt.
  • Orders, employees and RFIs sit in one system rather than separate spreadsheets.

The application was implemented at two further AEC companies in Mumbai, together running 400+ employees, with additional modules built for how those businesses operate. Three AEC firms now run on it.
