Reel-level inventory tracking for a packaging manufacturer

Material was being bought a second time because nobody could find the stock already sitting in the godown. We gave every paper reel a unique number and made stock, work orders and job work visible in one system.

Promise Packagings

How it worked before

  • Nobody could say with confidence what was actually in the godown.
  • When material could not be found, it was purchased again — while the original stock was sitting somewhere in the building.
  • That duplicate buying turned into wastage: money spent on material the company already owned.
  • Reel stock, work orders and job work were each tracked separately, by hand.

What we built

Reel management with unique numbering

Every paper reel gets its own number and is tracked individually through the process, rather than being counted as undifferentiated stock.

Materials stock

Paper reels and other materials held in one stock system.

Work orders

Different work order types raised and tracked through to completion.

Job work and job cards

Job work managed with job cards, so work sent out and brought back is accounted for rather than tracked informally.

What changed

  • What is in the godown is visible, so existing material gets used instead of bought a second time.
  • The duplicate purchasing — and the wastage that came with it — stops.
  • Purchase orders and outgoing products are recorded against each other, so the profit on a job can actually be worked out.
  • A specific reel can be located and its history traced, instead of relying on someone's recollection.
  • Work orders and job work share one record rather than sitting in separate registers.
